How Chess Labs collects, uses, and protects your information.
Effective date: October 9, 2026
1. Information We May Collect
Depending on your interactions, we may collect name, email address, telephone number, age range, parent or guardian contact details, chess experience or rating, scheduling preferences, messages, form responses, purchase records, and coaching-related information. Our website or service providers may also collect IP address, browser and device details, pages visited, cookies, and security logs. Payment processors handle payment details; we generally receive transaction status and limited payment-related information rather than full card numbers.
2. How We Use Information
We may use information to provide and schedule coaching; process payments; manage purchases; communicate about sessions and support; send promotional emails where permitted; maintain security and prevent fraud; improve services; and comply with legal obligations or enforce agreements. You can opt out of marketing emails. Service-related communications may still be necessary to administer a booking or purchase.
3. Cookies and Analytics
Our website and service providers may use cookies or similar technologies for essential site functions, preferences, security, and analytics. You can manage cookies through browser settings, though blocking certain cookies may affect functionality. If optional analytics, advertising, or tracking tools are enabled, we configure appropriate notices and consent controls where required by law.
4. When Information May Be Shared
We may share relevant information with providers that help operate our business, including website hosting, forms, email, scheduling, video conferencing, analytics, and payment processors such as Stripe or PayPal. Those providers may process information under their own terms and privacy policies. We may also disclose information to comply with law, respond to valid legal requests, protect rights and safety, prevent fraud, or complete a business transfer. We do not sell personal information for money.
5. Children and Youth Participants
Chess Labs LLC offers coaching that may be used by minors with parent or legal-guardian involvement. We do not knowingly collect personal information online from children under 13 in a manner requiring parental consent without obtaining consent required by applicable law. If a service is directed to children under 13 or we learn that information was collected without required consent, we will take appropriate steps to obtain consent or delete the information. Parents or guardians may contact us to review, correct, or request deletion of a child’s information, subject to legal requirements.
6. Data Retention and Security
We retain information for as long as reasonably necessary for service delivery, recordkeeping, dispute resolution, security, and legal compliance. Retention periods vary by record type. We use reasonable administrative and technical measures intended to protect information, but no method of transmission or storage is completely secure.
7. Your Privacy Rights
Depending on your location and applicable law, you may have rights to request access to, correction of, deletion of, or a copy of personal information, or to object to or restrict certain processing. To make a request, email william@chesslabsllc.com. We may need to verify your identity or, for a minor, your authority as parent or guardian before responding.
8. Third-Party Links and Services
Our website may link to or embed third-party services, including scheduling, video conferencing, social media, and payment pages. Those services are governed by their own privacy practices. Review their policies before providing information through them.
9. Changes and Contact
We may update this Policy periodically and will post the current version with a revised effective date.
