Coaching Agreement
The terms for chess coaching and training provided by Chess Labs.
Effective date: October 9, 2026
1. Parties and Participant
This Agreement is between Chess Labs LLC (“Coach”) and the adult client or, where the participant is a minor, the parent or legal guardian who purchases or authorizes the service (“Client”). The purchase confirmation or written coaching plan identifies the participant, the selected service, and the price.
2. Scope of Coaching
Coaching may include live online lessons, game review, chess analysis, homework or practice suggestions, training plans, and educational materials as described in the purchased package. Session length, number of sessions, group size, platform, and included materials are those stated in the offer or purchase confirmation. Services outside the purchased scope require separate agreement.
3. No Guaranteed Results
Chess development varies with prior experience, practice, attendance, concentration, and other factors. Chess Labs LLC does not guarantee rating increases, tournament results, titles, scholarships, academic outcomes, or any specific result. Coaching is educational instruction and is not childcare, therapy, or emergency supervision.
4. Scheduling, Attendance, and Cancellations
Sessions are scheduled by mutual agreement or through the designated booking system. The Client should provide at least 24 hours’ notice to request cancellation or rescheduling. A cancellation with less than 24 hours’ notice or a no-show may be counted as a used session, unless Chess Labs LLC determines otherwise or applicable law requires a different outcome. If the Coach cancels, the Coach will offer a reasonable reschedule or another remedy agreed with the Client. Sessions may end at the scheduled time if the Client arrives late.
5. Fees, Payment, and Refunds
Fees and billing frequency are disclosed before purchase. The Client is responsible for payment and for keeping billing details current. Refunds and cancellations are governed by the refund terms disclosed at purchase and the Terms of Service. Unless a written offer states otherwise or applicable law requires a refund, completed purchases are non-refundable and unused sessions are not refunded after expiration or termination. Any recurring subscription must be clearly disclosed and separately authorized before recurring charges begin.
6. Client and Participant Responsibilities
The Client agrees to provide accurate information, ensure the participant can access required technology, and help the participant attend sessions prepared. Participants must behave respectfully, follow reasonable session instructions, and avoid harassment, threats, or disruptive conduct. The Client remains responsible for a minor’s wellbeing before and after each session and for supervision outside scheduled coaching time.
7. Parent or Guardian Consent for Minors
If the participant is under 18, the accepting parent or legal guardian confirms they are authorized to consent, have reviewed this Agreement and the Terms of Service and Privacy Policy, and accept responsibility for purchase and scheduling. The parent or guardian will provide current contact details and remain reasonably accessible to address safety or administrative concerns. Coaching is not childcare. The parent or guardian should arrange an appropriate environment and remain reasonably accessible during sessions, especially for younger participants.
8. Online Safety and Communications
Sessions may use third-party video-conferencing, chess, messaging, or scheduling platforms. The Client is responsible for reviewing those providers’ terms and privacy practices. Communications should occur through contact methods designated by Chess Labs LLC. Participants should not share passwords, private contact details, or sensitive personal information in public chats or with other participants. Chess Labs LLC may end a session or restrict communication if a safety concern arises.
9. Recordings and Materials
Chess Labs LLC will not record a session containing a participant unless required consent has been obtained. The Client and participant may not record, livestream, publish, or distribute a session without prior written permission and any consent required by law. Materials supplied by Chess Labs LLC are for the participant’s personal educational use and may not be copied, resold, or redistributed without written permission, except where law permits.
10. Conduct, Suspension, and Termination
Chess Labs LLC may suspend or terminate coaching for serious or repeated misconduct, safety concerns, nonpayment, fraud, or material breach of this Agreement. Where reasonably practicable, Chess Labs LLC will communicate the reason and applicable treatment of prepaid or unused services. The Client may request termination by contacting william@chesslabsllc.com; future billing will be handled under the disclosed cancellation terms.
11. Privacy, Liability, and Governing Law
Personal information will be handled as described in the Privacy Policy. Online coaching is not an emergency service. To the extent permitted by law, Chess Labs LLC is not responsible for indirect or consequential losses arising from coaching, technology interruptions, or competitive outcomes. Nothing in this Agreement excludes liability that cannot legally be excluded or limits rights that cannot legally be waived. Connecticut law governs this Agreement, subject to mandatory law that applies.
12. Acknowledgment and Acceptance
By affirmatively checking an agreement box before purchase or enrollment, or by signing a written copy, the Client confirms they have read and agree to this Coaching Agreement and the Terms of Service and acknowledges the Privacy Policy. For a minor participant, the parent or legal guardian must provide consent and acceptance. Please keep a copy of the policies and your purchase confirmation for your records.
